Question:
We are seeking clarification regarding the Request for Quotation (RFQ 2024/25-006) for Project Management Services, specifically regarding the Council's openness to remote and hybrid work arrangements. As the nature of project management can vary significantly, understanding the Council's stance on this matter will be essential for the preparation of our proposal. Could the Council please clarify if proposals that incorporate remote work arrangements, with on-site attendance when required by project specifics, are acceptable under the terms of this RFQ?

Answered on 24/Jan/2025 05:18 PM:

Thank you for your enquiry.

Council is open to hybrid arrangements subject to suitable arrangements being agreed on a project-by-project basis.

Council would be interested in understanding your approach to hybrid work, and which phases of a project are more likely to require you to be onsite and which may be suitable for working remotely.

Question:
Hello,

Your examples cited in the RFQ documents are leaning towards capital projects. Are you seeking PM services that would cover IT projects and operational improvement too?

Thanks!

Answered on 28/Jan/2025 09:30 AM:

Hi

thanks for your question.

We currently have an IT contract in place.

The next phase of service reviews and the like will be considered following the completion of the current round.

regards

Peter

Question:
Hi,

Under Compliance Requirements, it states "Quality Management System ISO 9001 compliance".

Our quality management system is created inline with ISO 9001 however we are yet to go for ISO certification, does this suffice?

Answered on 28/Jan/2025 05:36 PM:

Thank you for your question.

Lack of accreditation does automatically exclude you. If you are not accredited, then we require some other evidence of a satisfactory QMS.

Question:
In regards to my previous question, the answer seems to contradict itself.

Can you advise if it was a typo? Were you meant to state that "Lack of accreditation does NOT automatically exclude you"?

Answered on 29/Jan/2025 09:11 AM:

My apologies, you are correct.

Accreditation is taken as proof of a satisfactory QMS.

Without accreditation we'll be looking for other evidence of a satisfactory QMS.

Hence lack of accreditation does not automatically exclude you from consideration.

Question:
Could you please advise what the expectation is regarding attachements for "verified documentation of safety performance"?

Answered on 31/Jan/2025 02:27 PM:

Thank you for your question and I apologise for the delay in responding.

We would accept evidence of lack of any public liability or workers comp claim over the past three years.

Question:
Please clarify what the "Statement outlining financial capability" should look like.

Answered on 05/Feb/2025 08:56 AM:
(edited on 05/Feb/2025 09:17 AM)

Good morning

The key issue is your capacity to meet the cash flow requirements of your salary and expenses prior to Council's payment of invoices. The second, and hopefully never required, is the ability to meet any "make good" obligations.

For organisations that's typically a copy of your last financial statements, for others such as sole traders, a statement from your accountant.

Given the RfQ deadlines and our delay in responding we accept that you may not be able to supply the required documents prior to Friday. A simple statement such as "we provide the documentation as soon as possible" will be accepted.
